FieldSync Automotive – Makes Wives Happy!

I recently had a discussion with a satisfied MobileDataforce customer using our mobile estimate, invoice, and accounting system FieldSync Automotive, and discovered an unintended yet VERY interesting benefit.

This customer runs an automotive reconditioning company in the Western Half of the US and services a wide variety of different kinds of accounts from Retail to Wholesale, and performs everything form PDR (Paintless Dent Removal), to Paint Touch Up Etc.

The owner of the business is also a very skilled and experienced PDR technician who routinely gets invited to work on hail events across the globe.  From time to time he gets the call that his services are needed overseas for a period of time, and a substantial sum of money could be earned if he were in a position to take it.

Prior to implementing the FieldSync Automotive solution, whenever the owner would leave town his wife was stuck picking up the slack with running the business.  She was spending hours nightly collecting hand written invoices, copying them into QuickBooks, running reports them emailing them to the clients.  Not to mention keeping track of the employees, and client accounts. Needless to say she wasn’t enthusiastic about having her husband leave the country much less picking up all of the additional business related tasks.

This morning I was blessed with speaking with a company that does Vehicle inspections.  They are looking at automating their current paper processes, into a paperless system.  Essentially they are the last line of defense before the vehicle goes to the dealership, to say that they are interested in maximizing efficiencies is an understatement. 

Their current paper process is costy, and like many of our customers they are searching for a better way, to manage the mountain of paperwork.  They process roughly 60,000 Pieces of paper a month.  Here is the hook, the paper is their business, they need to get the paper from A –> B in order to get paid.  I’m excited about sharing with them the stories of our other customers who have been successful going paperless.

Recently I’ve been lucky enough to meet with quite a few Automotive Reconditioning companies that have been interested in going paperless, and I’ve noticed that one glaring question comes to the forefront of each and every conversation “What device do you recommend that can scan a VIN?”

I was thinking today that it has been a while since I’ve posted anything related to FieldSync Automotive and wanted to keep everyone in the loop of what we’ve been working on. While integration with QuickBooks has certainly been available in previous releases, it hasn't been as easy to configure or install as we would like. We’re very pleased to announce that in the new release of FieldSync Automotive 3.0 we have completely re-engineered the way we are connecting to QuickBooks.

We are currently supporting the following versions of QuickBooks:

· QuickBooks Profession 2005 or Better

· QuickBooks Accountants Edition

· QuickBooks Premier Editions

We’ve also built out the functionality to include the use of Sales Orders in Accountant and Premier Editions!

The Evolution of a Mobile Solution – Kevin Benedict

Our customers often follow an evolutionary path when it comes to mobilizing their business. Let me identify several common steps on this path:

  1. Mobile forms - replace paper forms with electronic forms on handheld computers, Tablet PCs or laptops and download data to a spreadsheet.
  2. Integrate Mobile Forms with enterprise databases.
  3. Evolve Mobile Form into a full Mobile Database Application with all the power of a relational database software application on a mobile device.
  4. Extend business processes out from the enterprise and into the mobile database applications.
  5. Replace many traditional communication methods (phone calls, faxes, web queries) with real time enterprise database queries from mobile database applications.

Let me walk you through a scenario -

  1. Step 1 - Company M wants to replace paper service orders with electronic service orders on a ruggedized handheld computer. In step 1, they are content to pick up the handheld in the morning with pre-loaded service orders, and return the handheld device at night to synchronize the work they accomplished during the day. This saves a great deal of data input and mistakes by the office staff. It is a simple mobile forms application.
  2. Step 2 - Company M decides they would gain efficiencies if they could dispatch service orders directly to the handheld computers during the day, and synchronize the completed and/or pending service orders directly to the central work order dispatch system in real-time. This model requires a database application to run on the handheld for data storage and database synchronization. It also requires a wireless network card so you can synchronize data over the mobile phone networks, and a synchronization server to keep all handhelds synchronized with your internal enterprise databases.
  3. Step 3 - Extend business processes out to the mobile handheld device. Company M now wants to attach an inventory tracking process to their mobile service order application. When parts get used on a service call, they want the parts to be automatically removed from the inventory tracking software application in the office. This can easily be added to their mobile database application.
  4. Step 4 - Digital signatures are added to the service order application on the mobile device. Scheduling additional service calls can be added to the mobile device. Querying customer history, credit card processing and mobile printing can be added to the mobile application....plus much more.

In summary, most companies don't jump in and do everything that is possible in the first deployment of a mobile solution. There are phases, and an evolution of a mobile solution.

Getting Back to Basics, cutting through the Enterprise Mobility Marketing Mess – By: Nick Kugelman

I have been conducting a ton of mobile technology seminars recently, and was recently asked an interesting question by a concerned customer, he said “Nick, I know that everyone is talking about mobile technology, devices, platforms, implications, and strategies; but what does that mean to me and my technicians?” I was happy to hear this question, it really got me thinking about what, why, and how organizations adopt mobile technology. My answer was pretty simple; we are trying to improve the status quo of your technicians in the field, by enabling them to work smarter with more information, while providing you the kinds of information you need to make better decisions quicker. Mobility isn’t about ripping out a tried and true business process and rebuilding it; it is all about incremental business process changes over time. Finding out what works and what doesn’t work is part of any mobile software technology implementation. Many organizations with successful deployed mobile applications are always thinking of ways of keeping customer and technician satisfaction high. One of the many ways they do this is a focus on application usability, and training. It doesn’t matter how many things a mobile application can do if the technician in the field can’t use the system. Ensuring the application is easy to use, gathering feedback, and providing plenty of training is the recipe for success. The moral of the story is that, no matter how complicated things can get, from back end integration, device selection, mobile platform implications, mobile security, device management, etc., the key to ANY mobility project, is ensuring that the key decision makers are focused on application usability, training, and committed to finding the right recipe for success.

Tools, Parts & Mobile Work Order Solutions on Handheld PDAs

We have had several requests recently to combine mobile work order solutions with inventory and asset psiontracking applications for use on mobile handheld PDAs. This is not unusual, it just points out the fact that companies are recognizing a great deal of value from mobilizing business processes. Here is an example:
The company wants to track any employees that enter the stockroom where both inventory and tools are kept, and track anything that is removed by them. They would do this by matching the employee's ID cards, with the customer's work order and any inventory or tools that are used on the work order.
This solution would better control the use of tools and inventory, and ensure they are appropriately billed to the customer's work order. This system would provide the following ROI:

  1. Reduce missing inventory
  2. Bill the customer appropriately for inventory usage
  3. Bill the customer appropriately for the use of tools 
  4. Track the tools and who has them (asset tracking)
  5. Assign inventory and tools to an employee for accountability
  6. Reduce the labor needed to manage inventory, billing, and assets

Outsource … What?

This is one of my favorite topics, so please take that into consideration if you decide to read further.  Recently I have encountered a several organizations that have struggled with the idea of outsourcing the development of their mobile applications to a third party such as my company.   The company I work for has a product that enables developers to create robust mobile applications quicker, with less bugs, and for less money, than traditional development.  Unfortunately, that does not always translate to Professional Services Business for us.  I think the challenge is not that organizations don't see value in our product or in our development services, rather its that they want to keep everything in house.  One good example was last week, I was visiting a very large organization, and met with the Director of Support Services.   This company under the discretion of the Director hired a college kid (nothing is wrong with it) to complete their mobile application development.  This kid has no formal training, hasn't attended one of our training sessions, and hasn't been on my radar until I went to visit the company.  I was surprised to find that not only were they paying his college tuition, but they were also paying him above market wages for his experience level.  What gives?  So I asked, "Why did you hire a new employee when my firm could have delivered this application in 4 weeks?" his answer was anything but what I had expected, he said "I'm not going to outsource something we can do ourselves"

Well, we have had a busy month, and I am finally getting back to my blog. There are several mobile IDEs on the market, and people often ask me how PointSync compares. Today I learned about a company that is comparing MobileDataforce's offering with .Net. They are a highly skilled .Net development shop that has spent the majority of their time on web-based solutions over the past few years. They are interested in moving into the mobile space.
Here are some thoughts I have about choosing between PointSync and .Net. Developers generally enjoy more control and like being in code as opposed to a true Visual development environment. On the other hand, our team has extensive experience in .Net, and prefer working in our own environment for several reasons:
1. Complete Platform: PointSync includes a built-in, enterprise-class, relational database management system with full two-way sync with PointSync databases, configuration tools to quickly deploy your mobile applications and a truly visual development environment. PointSync also provides a linked table model to sync data directly to SQL server.
2. Performance: PointSync apps are serialized C++ objects. Therefore they load almost instantaneously, and, although you are working in a simple development environment to create a solution, your applications are actually closer to the OS than a .net app. .Net apps are percieved to a user as slow when they first load because it takes so long to load the .Net Framework on a device.
3. Integration with Other Systems and Formats: We can easily provide support for other systems such as Oracle as a back-end repository. We love to provide additional functionality to our customers and partners as part of a project. We have customers that have deployed our system with Oracle. In fact, the PointSync repository could be an Oracle database. iAnywhere (our database platform) is the largest mobile platform in the world, and it does provide integration to many other systems, including Oracle out-of-the-box. Our PointSync platform will provide the familiar GUI (graphical user environment) that you may be familiar with.
4. Power: PointSync is still young. 3.5(future version number?) will have over 200 functions, including the new areas for synchronization, registry, and an API so you could create your own dlls and expand the capabilities of PointSync on your own.
In summary, being a .Net developer myself, I believe there are legitimate arguments for going with PointSync. I would be glad to discuss this excellent option with you.

For iPhone owners, it just keeps getting better. When iPhone OS 3.0 arrives this summer, it will introduce over 100 new features, including the ability to:

  • Search your iPhone
  • Cut, copy, and paste
  • Send photos, contacts, audio files, and location via MMS*
  • Read and compose email and text messages in landscape view

More cool things

  1. In App Purchase - Allow users to purchase content or services from your application using the Store Kit framework. This new framework handles the financial aspects of the transaction, processes payment with the iTunes Store, and provides your application with information about the purchase.
  2. Apple Push Notification Service - The Apple Push Notification service provides a way to alert your users of new information, even when your application isn't running. Send text notifications, trigger audible alerts, or add a numbered badge to your application icon.
  3. Peer to Peer Connectivity - Add multi-player capabilities to your games using the peer to peer network connectivity and in game voice communication features of Game Kit. This powerful new framework allows any application, not just games, to communicate between devices using Bluetooth-no pairing required.
  4. Embedded Maps - You can now embed maps within your applications using the new Map Kit framework. Map Kit works with the Google Mobile Maps Service and features panning and zooming, custom annotations, current location and geocoding.
  5. Accessories - Using the new External Accessory framework, your application can now communicate with "Made for iPod" hardware accessories attached to iPhone or iPod touch through either the 30-pin dock connector or wirelessly using Bluetooth.
  6. iPod Library Access - Access music, podcasts, or audio books in a user's iPod library directly from your application using the updated Media Player framework. You can play, repeat and shuffle songs or whole playlists, or create sequences of songs using custom searches.

Handheld Computer Considerations

There are a lot of good handheld computers available and some bad ones. I will leave the bad ones for a future discussion and focus on some of the points image to consider when selecting good handheld hardware.

  1. What environment will you be using the handheld computer in - is it hot, cold, wet, dusty or filled with explosive vapors? Is it a clean office environment, or a rugged out-of-doors environment?
  2. Is your software application focused exclusively on bar code scanning, RFID reading, GPS, or do you need a multi-purpose device?
  3. Will the hardware configuration ever need to be changed? Some handhelds can be configured at will, others are locked and can only be used with the original configuration.
  4. What hardware does your selected software require?
  5. Will the battery last long enough to accomplish your work? Do you need back-up batteries? Can you use batteries purchased at the local market, or are they vendor specific?
  6. What is your budget? What does the value of using a handheld computer justify spending? Do you have enough budget to purchase the software and hardware you need? Does your budget only allow for low cost consumer devices? How many replacements cover the cost of a ruggedized handheld?
  7. How do you replace broken devices? Can you get a replacement in 24 hours, or must you wait on the slow-boat-from-China?
  8. What kind of support contracts and warranties are available?
  9. How long will you new handheld computer be supported, serviced and manufactured by the vendor. Is it near end of life and being discounted for a reason?
  10. Can you upgrade the operating system when Microsoft releases a new version of their mobile operating system?
  11. Can you use standard laptop data cards in the handheld, or do you need to pay for high priced vendor specific cards?
  12. Can you view the screen effectively in the sunlight?
  13. Does the bar code scanner work effectively in real-world environment? Some scanners can not scan effectively through glass or plastic.
  14. Is the size and weight of the handheld appropriate for the user and environment?
  15. Can your handheld computer support all the add-ons you require at the same time? Some devices can only support a specific number of add-on components so you are forced to choose. Some can not support both a GPS and a data card at the same time. Some devices can not support both a bar code scanner and a GPS add-on. This is an important consideration.
  16. Do you need only a touch screen and navigation pad, or a number pad or a full QWERTY keyboard? This is very important for user acceptance.
  17. Is the handheld device also going to be used as a phone? Is a 2 pound industrial grade handheld really a usable phone?
  18. Does your low cost consumer grade PDA need a rugged case like the ones Otterbox sells?
  19. If you only have a budget for a low cost device, does it support the battery life and add-on components you require?
  20. How will the device be transported around a job site? Will it strap to a belt, swing from a shoulder strap, sit in a holster or be mounted to the dashboard of your truck? Does your device support your chosen method?
  21. Where is the closest inventory of the handheld computers? Where is the closest repair depot?
  22. Will your vendor loan you a device on trial?
  23. How will your handheld computer send data back to the office - cradle sync, WiFi, bluetooth, GPRS/GSM, CDMA?
  24. What size screen do you need? Some devices like the Jett-Eye have a "landscape view" others a "portrait view" many have different sized screens. What do you require?
  25. Do you need an integrated digital camera? Do you need a low or high resolution camera and does your device support it?
  26. Does a refurbished device from Ryzex make better sense that a new device?
  27. Where is your vendor's office? Are they in the neighborhood or on the other side of the planet? Does their location offer you the support and attention you deserve?
  28. Does your handheld computer run on the same operating system that your software solutions require?
  29. Does your handheld computer come with a pistol grip or other straps that help you avoid dropping it?
  30. Can you comfortably hold the device in your handheld and complete the required job? Some devices have scanners on the side, on the end or underneath.
  31. Can you effectively view the data you need? Some jobs simply require a full keyboard and a full screen for viewing large CAD files or Maps. Does your screen size match your requirements?

Palm Treo 800w – Sprint Network = New Personal Phone

A co-worker of mine was nice enough to hook me up with a FREE phone.  I guess he felt sorry for me, the phone I was using predates the Sprint-Nextel merger.  Anyone remember Sprint Ready Link?  Well in any event I am now the proud owner of the Palm Treo 800w on the Sprint Network, and I am very impressed.  With one complaint, BATTERY, BATTERY, BATTERY…For all of the increases in screen size, horsepower, and memory, you would think that someone would come up with a new way to power a device longer, that doesn't involve just buying a bigger battery, or turning off Wifi, or Push Email… Anyway great phone, really looking forward to being able to have push email turned back on though.

I recently just had a run-in with a customer who was looking at options for mobile technology online, came across the competition, liked what they saw, then called and spoke with me…What gives?  Well apparently the customer was impressed with several things, in addition to our competitive offering.  Rather than focus on just the comparison of the software they looked at the intangibles of both organizations offering the mobile solutions.  Below are some of what was mentioned.

  1. We are mobility experts with thousands of happy customers, and hundreds of successful mobile applications built on a wide variety of mobile operating systems, integrated with a wide variety of back ends. check out our case studies online.
  2. We have a platform to support mobile applications (Different than the competition)
  3. Our pricing structure is aggressive, apparently our focus on mobility in general really allows us to partner with our customers to deliver value without the need to price gouge.
  4. Many legs under the table
    • We sell development tools for mobile and desktop environments
    • We sell iPhone development services
    • We sell mobility consulting services
    • We sell windows mobile development services on our platform
    • We sell .NET development
      • All done in the USA

What to do about hardware?

I recently had a great discussion with a customer of ours, that was looking for a good mobile device with some pretty simple simple features

  • GPS
  • CAMERA
  • QWERTY KEYBOARD
  • CDMA
  • Windows Mobile Professional (TouchScreen)

and we wandered into the rugged hardware discussion.  I am personally a big fan of rugged hardware, looking at the total cost of ownership, and longevity of the device etc.  However that really only goes so far…If a less rugged, consumer grade device can be purchased for a minimal sum over and over again how can anyone justify purchasing a $3000.00 Device?  I can only think of one answer, when a technician is in such a remote area that it isn't possible to replace a device quickly without losing precious time, or having a job suffer.  Much like one of our customers SHO-ME Power which inspects 1,663 miles of transmission line.  Visit our downloads section to read the case study.  To make a long story short, can you justify spending $3000.00 on a device with the same features as as $50.00 device?  That’s 60 consumer grade devices to 1 rugged device…  Really makes you think.  We have an easy to use hardware guide in our downloads section as well!
